You can check the hours. Most people never need to.
Tracked time, activity, screenshots and a weekly quality review, on our own systems. Not because we think you want to watch someone work, but because you should not have to take an invoice on faith.
Nobody is worried the work is too expensive.
They are worried they will pay for forty hours and have no way of knowing whether they got forty hours. That is the actual reason people hesitate on offshore hiring, and most providers answer it with a promise rather than a system.
“Am I being billed for real hours?”
You see tracked time per day and per project, not a total someone typed into an invoice at the end of the month.
“Is anyone actually managing them?”
Every VA gets a weekly QA review and a written coaching summary. You have an operations manager on our side, not just a sales contact.
“What if the work quietly drifts?”
We run client feedback cycles that ask you to rate communication, work quality and timeliness, so problems surface as a score rather than as a resignation.
The hours, in detail.
Trckr is our own time tracking system. Your VA works on it, and you see what it records. This is the part several of the largest VA services do not offer at all.
What is recorded
- Tracked time per day, split by project
- Activity level, from keyboard and mouse input
- Idle time, separated from active time rather than hidden in it
- Periodic screenshots through the working day
- Which applications and sites the work happened in
What that gives you
- An invoice you can reconcile against a log
- Early warning when a role is quietly understaffed or overloaded
- Evidence when you need to challenge something, in either direction
- A record if your own client or auditor asks how the work was done
- Manual time requests that need approval, not silent edits
What your VA runs, all day.
This is the actual Trckr agent interface. Your VA starts it at the beginning of a shift and stops it at the end. Everything on this screen is what produces the numbers you get.

The same work, from your side. You get a magic link, no password to manage. It updates through the day, so you are not waiting on a Friday summary to find out how the week went.
Maria has taken the whole inbox off my plate. Turnaround on client emails went from a day to under an hour.

The oversight is not a dashboard you have to remember to check. It is a weekly cycle that runs whether you look at it or not.
The work is tracked
Your VA runs Trckr through each shift. Hours, activity, idle time, applications and periodic screenshots are recorded against your project as it happens.
You see it live
Your dashboard updates during the day. You are not waiting for a report to find out that Thursday was short. Nothing is required of you here.
QA reviews the work
Each VA gets a weekly quality review and a written coaching summary. It goes to them, so the correction lands with the person doing the work rather than in your inbox.
You rate us back
We ask you to score communication, work quality and timeliness. That score is attached to the VA and drives the next round of coaching.
What happens before you have to chase it.
Every arrangement has a bad week eventually. The question worth asking a provider is what happens on that week, so here is ours in full.
The trigger for all four is the same: a number moved on a system you can see too. That is the entire reason we run our own tracking rather than asking you to trust a timesheet.
Managed by us, rated by you.
Weekly QA review
Each VA gets a weekly review of their week and a written coaching summary. It goes to them, so the correction happens with the person doing the work.
Client feedback cycle
We periodically ask you to rate communication, work quality and timeliness, and to leave a comment. Your rating is the one that counts, not our opinion of ourselves.
Operations manager
A named person on our side owns your account. When something needs fixing, you tell them once rather than re-explaining it to a queue.
What we do not do.
Monitoring is easy to oversell and easy to abuse. Here is the line we hold, and we would rather you know it before you buy than after.
We do not
- Log keystrokes or capture what is typed
- Use webcams or listen through microphones
- Track anyone outside their working hours
- Hide the tracking from the person being tracked
We do
- Tell every VA exactly what is recorded before they start
- Treat activity level as a signal to ask a question, not a verdict
- Give the VA the same visibility of their own data that you have
- Expect you to manage a person, not a dashboard
An activity percentage is a blunt instrument. Deep work, calls and reading all look quiet to a tracker. We use it to spot patterns over weeks, not to judge an afternoon, and we would push back on any client who wanted to use it that way.
What else your VA runs on.
ArmaOPS+
Claude AI and VS Code, set up and trained before your VA starts, included at no extra charge. That is the output side of the story.
Payslips and payroll
We run pay, so you do not. Your VA gets a formal payslip they can use for a loan or a visa, which is a bigger deal for retention than most clients realize.
Support and help desk
Our team has an internal community and a ticketed help desk, so a blocked VA raises it and gets unblocked instead of going quiet on you.
The things buyers ask about oversight.
Do I have to use the tracking?
No. Some clients watch the log weekly, most look at it in the first month and rarely afterwards. It is there so that trust is a choice rather than a requirement.
Does the VA know they are being tracked?
Yes, always, and they see their own data. Covert monitoring is both a legal problem and a retention problem, and we will not run it.
What is a normal activity percentage?
It varies enormously by role, and anyone quoting you a single target number is selling you something. A researcher on long reading tasks and a data entry VA will look nothing alike. We read it as a trend against that person's own baseline.
Can I see screenshots of my own work only?
Yes. A VA working across more than one client is scoped so each client sees only their own project, never another client's.
What if the tracked hours and the output do not match?
Tell your operations manager. That is exactly the conversation the data exists to make possible, and it usually ends in a scope or training fix rather than a replacement. If it does need a replacement, the 110-Day Perfect Hire Guarantee covers it.
Do other VA companies provide this?
Some do, several of the largest do not. It is worth checking before you sign anywhere, including here. We compare the terms in detail on our Wing Assistant comparison.
