This notice explains what personal information Armasourcing Managed Business Process Outsourcing OPC, doing business as Armasourcing (“Armasourcing”, “we”), collects, why we collect it, who we share it with, and what you can do about it. It covers armasourcing.com and any other website of ours that links to this notice, along with the sales, marketing, recruitment, and events we run alongside them.
We have written it in plain English on purpose. If anything here is unclear, or you want us to act on your information, email hello@armasourcing.com and a person will reply. If you do not agree with what follows, please do not use our services.
The short version
Here is the whole notice in ten points. Each one links to the section with the full detail.
- What we collect: your name, email, phone number, company, and job title when you give them to us, plus the technical information your browser sends automatically, such as your IP address and device type. If you apply for a role, we also collect your CV, your portfolio links, and your answers to our assessments. Read more
- What we do not collect: sensitive information such as your race, ethnicity, religion, health, sexual orientation, or biometrics. We also do not knowingly collect anything from people under 18. Read more
- Why we collect it: to deliver the services you asked for, to reply to you, to assess candidates and introduce them to clients, to keep the site secure, to understand how the site is used, and, if you have opted in, to send you marketing. Read more
- Whether we sell it: no. We do not sell your personal information for money. Our advertising and analytics cookies may count as “sharing” under some US state laws, and you can opt out of those. Read more
- Who else sees it: the service providers we need to run the business, such as our hosting, email, analytics, scheduling, payment, and AI providers, each under a written contract. 1. What information we collect
In short: We collect what you choose to give us, plus the basic technical information your browser sends automatically when you visit.
Information you give us
You give us personal information when you contact us, request a quote, book a call, subscribe to something, apply for a role, or otherwise interact with us. Exactly what we get depends on what you do, but it is usually some combination of:
- your name
- your email address
- your phone number
- your job title and company
- what you tell us about the role you want to fill or the help you need
Please make sure anything you give us is accurate, and let us know if it changes.
If you book a call with us
Our booking calendar runs on Calendly. When you book, you give Calendly your name, your email address, your answers to the booking questions, and, if you want text message reminders, your mobile number. Calendly’s own privacy notice covers how it handles that data on its side. We also keep a record of which campaign, search, or referral brought you to our site, so we know which marketing is worth doing again.
If you apply for a role with us
Our careers pages and application forms collect what we need to assess you for the roles you apply to:
- your name, email address, phone number, city, and the role you are applying for
- your CV or resume, and links to your portfolio or past work
- your expected pay
- your written answers to our assessment questions
- recordings of your voice answering assessment questions
- while a timed assessment is running, basic integrity signals such as whether you switched browser tabs or pasted text, so that we can treat every candidate fairly
Some of our application forms run on Fillout, a form provider that processes the answers for us. Section 6 explains how AI helps us score assessments, and Section 4 explains what a hiring client gets to see.
Payment information
If you pay us, we collect what is needed to process the payment, such as your payment instrument number and its security code. That data is handled and stored by PayPal, not by us. You can read PayPal’s privacy notice for details on how they treat it.
Sensitive information
We do not collect or process sensitive personal information. That means we do not ask for, and do not want, details such as your racial or ethnic origin, religious beliefs, sexual orientation, health data, or biometric data.
Information collected automatically
Some information is collected the moment you load a page. On its own it does not identify you by name. We use it to keep the site working and secure, and to understand how the site is used.
- Device data. Your IP address or proxy server, device and application identification numbers, browser type, hardware model, operating system, system configuration, and your internet service provider or mobile carrier.
- Location data. An approximate location worked out from your IP address. We use a lookup service, ipapi.co, to work out which country you are in, so that we can show visitors in the Philippines our careers information and everyone else our hiring information. We do not ask your device for a precise location.
- Usage data. Which pages you viewed, the site that referred you, your language preference, your country, and when and how you used the site.
- Security data. Cloudflare sits in front of our website and sees the IP address and request details of every visit, so it can block attacks and bots and keep the site fast. Its Turnstile check runs on our forms for the same reason.
We collect a lot of this through cookies and similar technologies. Section 5 explains those and how to control them.
Information from other sources
We do not buy contact lists, use visitor identification services, or build profiles from data brokers.
Where we receive information from Google APIs, we use it in line with the Google API Services User Data Policy, including its Limited Use requirements.
2. Why we use your information
In short: To run our services, to talk to you, to keep things secure, and to improve what we do. We only use your information when we have a valid legal reason.
We use personal information to:
- Deliver the services you asked for, and support you while you use them.
- Assess candidates who apply for a role, and introduce suitable candidates to clients who are hiring.
- Send you reminders for a call you booked, by email or, if you opted in, by text message.
- Reply to you and ask for feedback on your experience.
- Send you marketing, if you have opted in. You can opt out at any time. See Section 11.
- Show you relevant advertising, tailored to your interests and location.
- Keep our services safe, including monitoring for and preventing fraud.
- Understand how our services are used so we can improve them.
- Measure our marketing, so we can tell what is worth doing again.
- Protect someone’s life, if we ever need to act to prevent serious harm.
- Meet our legal obligations, such as responding to a lawful request from a regulator or court.
3. Our legal reasons for using your information
In short: We only use your personal information when the law gives us a valid reason to, such as your consent, a contract with you, our legitimate business interests, or a legal duty.
If you are in the EU or the UK
The GDPR and UK GDPR require us to name the legal basis we rely on. Ours are:
- Consent. You gave us permission for a specific purpose. You can withdraw it at any time, and we explain how in Section 11.
- Performance of a contract. We need to process your information to deliver a service you asked for, or to take steps before entering a contract with you.
- Legitimate interests. We have a genuine business reason and it does not override your rights and freedoms. We rely on this to send information about our offers, to show relevant advertising, to analyze and improve our services, to support our marketing, to diagnose problems and prevent fraud, and to understand how people use what we build.
- Legal obligations. We need to comply with the law, cooperate with law enforcement or a regulator, or exercise or defend legal claims.
- Vital interests. We need to protect someone’s life or safety.
If you are in the Philippines
We are a Philippine company, so the Data Privacy Act of 2012 (Republic Act No. 10173) applies to how we handle your information. It lets us process personal information where you have consented, where it is needed for a contract with you or for steps you asked us to take before one, where the law requires it, where it protects someone’s life, or where we have a legitimate interest that does not override your rights. We rely on those grounds in the same situations described above for the EU and UK.
If you are in Canada
We process your information with your express consent, or with your implied consent where the law allows us to infer it. You can withdraw your consent at any time.
In a small number of exceptional cases, Canadian law lets us process information without consent. Those cases include when:
- collection is clearly in your interest and consent cannot be obtained in time
- it is needed to investigate or prevent fraud
- it is needed for a business transaction and certain conditions are met
- it appears in a witness statement needed to assess, process, or settle an insurance claim
- it is needed to identify someone injured, ill, or deceased, and to reach their next of kin
- we have reasonable grounds to believe someone has been, is, or may be a victim of financial abuse
- seeking consent would compromise the availability or accuracy of information needed to investigate a breach of an agreement or a contravention of Canadian or provincial law
- disclosure is required by a subpoena, warrant, court order, or rules of court
- it was produced in the course of someone’s employment, business, or profession and our use is consistent with why it was produced
- it is publicly available and specified by the regulations
4. Who we share your information with
In short: We share information with the service providers we need to run the business, with the client hiring for a role if you are a candidate who wants that role, and in a few specific situations set out below. We do not sell your personal information for money.
Service providers
We share personal information with the companies that help us operate, each under a written contract or published business terms that limit what they may do with it. Today they are:
- Website hosting and delivery: Hostinger hosts our website and our internal applications. Cloudflare protects and speeds up the site, runs the Turnstile bot check on our forms, and gives us cookieless page view counts.
- Email, documents, and signatures: Google Workspace for email and documents. DocuSign for the agreements we sign with clients and contractors.
- Scheduling and forms: Calendly for booking calls. Fillout for some job application forms.
- Payments: PayPal for invoices and payments. See Section 1.
- Analytics and advertising measurement: Google Analytics and Google Tag Manager, the OpenAI pixel for our ChatGPT advertising, and the Reddit pixel. Section 5 explains each one and how to opt out.
- Messaging: Telnyx carries the text messages and phone calls we send or receive.
- AI providers: Anthropic and Google, for the uses described in Section 6.
- Team tools: Slack, where our team is alerted about new enquiries and applications.
Clients who are hiring, if you are a candidate
If you apply for a role and tell us you want to be considered for it, we show the client hiring for that role a profile of you: your first name and the initial of your surname, your experience, samples of your work, your assessment results, and our recruiter’s notes. Your full name and contact details stay with us until the client asks to interview you and you agree. Clients agree to use that information only to decide whether to work with you.
If you join a client’s team through us, the client sees the hours and activity summaries produced by the time tracking tools described in your contractor agreement.
Business transfers
If we are involved in a merger, a sale of company assets, financing, or an acquisition of all or part of our business, your information may be transferred as part of that deal or the negotiations leading to it.
Legal and safety disclosures
We may disclose information where we are required to by law, or where we believe it is necessary to protect our legal rights, investigate fraud, or protect someone’s safety.
Selling and sharing
We do not sell your personal information for money, and we do not intend to start. We do use analytics and advertising cookies. To the extent those count as a “sale” or “sharing” under US state privacy laws, which in those laws includes targeted advertising, you can opt out. See Section 13.
5. Cookies and other tracking technologies
In short: We use cookies for analytics and for measuring our advertising. If you are in the EU, the UK, or the EEA, those cookies stay off until you accept them. Everywhere else they are on by default, and you can turn them off. Our Cookie Policy lists every cookie, who sets it, and how long it lasts.
What we use them for
- Necessary. Remembering your cookie choice, remembering which campaign or search brought you to the site, working out your country, and the security checks Cloudflare runs. The site needs these to work, and they are not used for advertising.
- Analytics. Google Analytics tells us which pages people visit, where they came from, and which forms they complete. Cloudflare Web Analytics gives us page view counts without setting any cookie.
- Advertising measurement. The Google conversion linker, the OpenAI pixel for our ChatGPT advertising, and the Reddit pixel tell the advertising platform that someone who saw one of our ads later visited the site or sent an enquiry. They do not give us your name. These are the technologies you can opt out of under US state privacy laws.
- Embedded services. The booking calendar on our scheduling page is provided by Calendly, which sets its own cookies inside the calendar. Videos on some pages are embedded in YouTube’s privacy enhanced mode, which sets no cookie until you press play.
How consent works on this site
Our site works out whether you are in the EU, the UK, or the EEA from your browser’s time zone and language settings. If you are, a banner asks you to accept or decline, and no analytics or advertising cookie that identifies you is set until you accept. Until then, Google Analytics receives only a cookieless signal that a page was viewed, with no identifier attached, which we use to count visits. You can change your mind at any time from the Cookie Policy page.
Everywhere else, including the United States, these technologies run by default. If you would rather not be part of that:
- Use the turn off control on our Cookie Policy page, which switches off analytics and advertising cookies for this browser.
- Turn on Global Privacy Control in your browser. We treat that signal as an opt out of advertising cookies. See Section 12.
- Install the Google Analytics opt out browser add on, and turn off Google’s advertising features in Google Ads Settings.
- Set your browser to remove existing cookies and reject new ones. If you do, some features of our site may not work properly.
Google’s own practices are described on the Google Privacy and Terms page.
6. Where we use AI
In short: AI helps us in three places: sorting the email that reaches us, scoring candidate assessments, and powering assistants you can talk to. Our AI providers are Anthropic and Google. A person decides which candidates we introduce to a client.
Sorting our inbox
Software reads new email sent to hello@armasourcing.com and uses an AI model from Anthropic to tell genuine enquiries and applications apart from newsletters and spam, so the right person on our team replies quickly. It records the sender, the subject, and a one line summary in our customer records and alerts our team on Slack. It does not send replies on its own.
Scoring assessments
If you apply for a role, your written answers are scored against a rubric with help from Anthropic’s models, and your voice answers are transcribed and scored with help from Google’s Gemini models. Those scores decide whether you move to the next step of our process. A person on our team decides which candidates we introduce to a client. If you think a score is wrong, email us and a person will review your answers.
Assistants you can talk to
Where we offer an AI chat or phone assistant, what you type or say is sent to our AI providers so the assistant can respond, and a person on our team can take over the conversation. We tell you when you are talking to an AI assistant.
How our providers handle it
We use Anthropic and Google through their business services, under terms that limit how they may use what we send them. All personal information processed this way is handled under this notice. If an AI assisted score affects you, you can ask a person to review it.
7. Where your information is stored
In short: Our team works from the Philippines. Our website is hosted in the United States and our internal applications in Malaysia, and most of our providers are based in the United States.
Armasourcing is a Philippine company and our team works from the Philippines. Our website is hosted on servers in the United States, and our internal applications, including our candidate and client records, run on servers in Malaysia. Both are operated by Hostinger. The providers listed in Section 4 process information mainly in the United States.
If you are in the EU, the UK, or Switzerland, this means your information leaves your region. Where that happens we rely on our providers’ standard contractual clauses or an equivalent safeguard recognised by your data protection law. If you are in the Philippines, your information may be processed outside the country by the providers above, and we remain responsible for it under the Data Privacy Act.
8. How long we keep your information
In short: Only as long as we need it for the purpose we collected it. The limits for each type of information are below. You can ask us to delete it sooner at any time.
We keep your personal information only as long as we need it for the purposes described in this notice, and in any case no longer than the periods below:
- Enquiries and leads: 24 months after our last contact with you.
- Clients: for as long as we work together, and afterwards for as long as tax, accounting, and contract law require us to keep business records.
- Candidates: your profile, CV, and assessment results for 24 months after your last activity with us, so that we can consider you for new roles. Voice answers for 12 months after the assessment.
- Analytics and advertising cookies: the lifetimes listed in our Cookie Policy.
- Email and messages you exchange with our team: as part of our normal business records.
Once we no longer have a legitimate business reason to hold your information, we delete it or anonymize it. If that is not immediately possible, for example because a copy sits in a backup archive, we store it securely and keep it out of any further use until deletion is possible.
9. How we keep your information safe
In short: We use appropriate technical and organizational security measures. No system on the internet is completely secure, and we will not pretend otherwise.
We have put in place technical and organizational security measures designed to protect the personal information we process.
Even so, no transmission over the internet and no storage technology can be guaranteed to be 100% secure. We cannot promise that hackers, cybercriminals, or other unauthorized third parties will never defeat our security and improperly access, steal, or change your information. Sending personal information to and from our services is done at your own risk, so please only use our services on a network and device you trust.
10. Information from children
In short: Our services are for adults. We do not knowingly collect information from anyone under 18.
We do not knowingly collect information from, market to, or sell the personal information of children under 18 years of age. By using our services, you confirm that you are at least 18, or that you are the parent or guardian of a minor and consent to their use of the services.
If we learn that we have collected personal information from someone under 18, we will deactivate the account and take reasonable steps to promptly delete that data. If you believe we hold information about a child under 18, please tell us at hello@armasourcing.com.
11. Your privacy rights
In short: Depending on where you live, you can ask for a copy of your information, ask us to correct or delete it, object to how we use it, and withdraw your consent. Asking is free.
What you can ask for
In regions including the European Economic Area, the UK, Switzerland, and Canada, you have rights that may include:
- asking for access to your personal information and a copy of it
- asking us to correct information that is wrong, or to erase it
- asking us to restrict how we use it
- asking us to transfer it to another provider, where that applies
- objecting to how we use it, in certain circumstances
- not being subject to decisions made purely by automated means, including asking for a person to review any AI assisted assessment score
How to use those rights
Email hello@armasourcing.com. We will consider and act on every request in line with the data protection laws that apply to you.
Withdrawing your consent
Where we rely on your consent, you can withdraw it at any time by emailing us at the address above. Withdrawing consent does not make our earlier use of your information unlawful, and it does not affect processing we carry out on a legal basis other than consent.
Opting out of marketing
You can unsubscribe from our marketing at any time by clicking the unsubscribe link in any email we send, by replying STOP or UNSUBSCRIBE to any SMS, or by emailing us. We will take you off our marketing lists.
We may still need to send you service messages, for example to answer a request you made or to administer an account you hold with us. Those are not marketing.
If you want to complain
- Philippines: you can complain to the National Privacy Commission.
- EEA: you can complain to your Member State data protection authority.
- UK: you can complain to the Information Commissioner’s Office.
- Switzerland: you can contact the Federal Data Protection and Information Commissioner.
12. Do Not Track and Global Privacy Control signals
In short: We honor Global Privacy Control. We do not respond to the older Do Not Track setting, because there is still no standard for what it should do.
Global Privacy Control
Some browsers and extensions can send a Global Privacy Control (GPC) signal, which tells websites that you do not want your personal information sold or shared for targeted advertising. When our site receives that signal, we treat it as an opt out: our analytics and advertising cookies are switched off for your browser, the Reddit pixel does not load, and Google Analytics receives only the cookieless signal described in Section 5. You do not need to do anything else. This is how we honor the opt out preference signals that California and several other US states require us to respect.
Do Not Track
Most browsers also include an older Do Not Track setting. There is still no agreed technical standard for recognizing and acting on that signal, so we do not respond to it. California law requires us to say so. If a standard is adopted that we have to follow, we will say so in an updated version of this notice.
13. Privacy rights for US residents
In short: If you live in one of the states listed below, you can ask what we hold about you, get a copy, correct it, delete it, and opt out of targeted advertising.
This section applies if you are a resident of California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, or Virginia. These rights are not absolute, and in some cases the law allows us to decline a request.

- get help through our customer support channels
- take part in a customer survey or contest
- ask us a question or ask us to deliver a service
We keep the personal information in every category above for as long as we need it to provide our services, and no longer than the periods set out in Section 8, unless the law requires a longer period.
Where we get it, and what we do with it
Section 1 covers the sources. Section 2 covers how we use it. Section 4 covers who we disclose it to, which is always under a written contract with that service provider.
We also use personal information for our own internal purposes, such as research for technological development and demonstration. That is not treated as selling your personal information.
We do not sell personal information for money, and we do not intend to. Where our analytics and advertising cookies count as a “sale” or “sharing” under your state’s law, you can opt out in three ways: turn on Global Privacy Control in your browser, use the turn off control on our Cookie Policy page, or email us using the contact details below.
Your rights
Under the US state privacy laws that apply to you, you have:
- the right to know whether we are processing your personal data
- the right to access your personal data
- the right to correct inaccuracies in it
- the right to ask us to delete it
- the right to get a copy of the personal data you previously shared with us
- the right not to be discriminated against for exercising these rights
- the right to opt out of your personal data being used for targeted advertising, sold, or used for profiling that produces legal or similarly significant effects
Depending on your state, you may also have:
- the right to a list of the categories of third parties we have disclosed personal data to, including under California and Delaware law
- the right to a list of the specific third parties we have disclosed personal data to, including under Oregon law
- the right to limit the use and disclosure of sensitive personal data, including under California law
- the right to opt out of the collection of sensitive data and of personal data collected through a voice or facial recognition feature, including under Florida law
How to exercise these rights
Email hello@armasourcing.com, or write to us at the postal address in Section 16.
You can appoint an authorized agent to make a request for you. We may refuse a request from an agent who cannot show proof that you validly authorized them.
Verifying your request
When we receive a request, we need to check that you are who you say you are. We use the information in your request only to verify your identity or authority to make it. If we cannot match you against what we already hold, we may ask for more information, purely for verification and fraud prevention.
If an authorized agent submits the request, we may need extra information to verify your identity, and the agent will need to provide your written, signed permission.
Appeals
If we decline to act on your request, you can appeal by emailing hello@armasourcing.com. We will tell you in writing what we decided and why. If we deny your appeal, you can complain to your state attorney general.
California “Shine The Light” law
California Civil Code Section 1798.83 lets California residents ask us, once a year and free of charge, for information about the categories of personal information we disclosed to third parties for their direct marketing purposes in the previous calendar year, and the names and addresses of those third parties. To make that request, write to us using the details in Section 16.
14. Privacy rights in other countries
In short: You may have extra rights depending on the country you live in.
Philippines
Under the Data Privacy Act of 2012 and its implementing rules, you have the right to be informed about how we process your personal information, to access it, to object to processing, to have inaccurate information corrected, to have it erased or blocked where the law allows, to receive a copy in a portable format, and to be indemnified for damages caused by unlawful processing. To use any of these rights, use the details in Section 16. If you believe we have mishandled your personal information, you can complain to the National Privacy Commission.
Australia and New Zealand
We collect and process your personal information under Australia’s Privacy Act 1988 and New Zealand’s Privacy Act 2020. This notice meets the disclosure requirements of both, in particular what we collect, where we get it, why we use it, and who else receives it.
You can ask us to give you access to your personal information, or to correct it, at any time. Use the details in Section 16.
If you choose not to give us the personal information we need, it may limit our ability to offer you the services you want or to respond to your requests.
If you believe we are handling your personal information unlawfully, you can complain to the Office of the Australian Information Commissioner or the Office of the New Zealand Privacy Commissioner.
South Africa
You can ask us to give you access to your personal information, or to correct it, at any time. Use the details in Section 16.
If you are unhappy with how we handle a complaint about your personal information, you can contact the regulator, The Information Regulator (South Africa):
- General enquiries: enquiries@inforegulator.org.za
- Complaints, using POPIA or PAIA form 5: PAIAComplaints@inforegulator.org.za and POPIAComplaints@inforegulator.org.za
15. Changes to this notice
We update this notice when we need to, so that it stays accurate and compliant. When we do, we change the “Last updated” date at the top.
If we make material changes, we will make that clear, either by posting a prominent notice or by contacting you directly. It is worth checking back from time to time.
